Two (2) In-person Planning Consultations:
Maximum 2 hours per consultation
Meetings will begin 2 months before event date
Final consultation will be during week of event
Provide event logistics checklist
Create event floor plan and day timeline
Personalize and manage budget
Advise on design, color schemes, décor, themed ideas, ambience, floral arrangements, table layout etc.
Unlimited guidance via phone or e-mail
Locate, verify availability and arrange vendor appointments
Assist vendor selection and contract negotiations
Personal attendance to all vendor meetings (as needed)
Track vendor deposits, payment and due dates
Distribute detailed setup & strike instructions
Distribute event day timeline for vendors
Distribute driving directions and maps
Relay final head count to appropriate parties
Send final confirmations to vendors by e-mail & phone (1 week prior)
Two (2) Coordinator on-site to facilitate vendor arrival and set up for the private event up to 8 hours
Arrange and decorate tables at the reception with centerpieces, menu cards and place cards and favors for your guests
Assist with dinner seating and any guests that need special arrangements
Coordinate event highlights (welcome, games, prizes)
Distribute final payment and gratuities to vendors
Answer any questions your venue or vendors may have throughout the day
